How to choose
Before comparing names, write down what you need the CRM to fix. Then check each option against the same list.
- The jobs it must do: enquiries, sales, projects, invoicing?
- The real cost for your whole team, on the plan you’d need
- UK fit: VAT invoices, UK numbers, your accounts software
- Whether everyone on the team will actually use it
- Whether it copes with growth, or a second business
HubSpot
Suits businesses that want marketing, sales and service tools from one well-known company. Its strength is breadth: there are free tools to start with, and paid hubs for marketing, sales and customer service when you grow. Paid plans are priced per seat, so check the cost for your whole team.
Pipedrive
Suits sales-led teams who live in their pipeline. Its strength is a clear, visual sales pipeline that makes it obvious what to do next on every deal. It’s priced per seat, and some extras, like campaigns and projects, are add-ons.
Zoho CRM
Suits businesses that want a lot of control, or already use other Zoho apps. Its strength is how far it can be customised, and that it sits in a large family of Zoho business apps. It’s priced per user, with several plans.
Capsule
Suits small teams who want something simple. Its strength is ease of use: contacts, tasks and a sales pipeline without much setup, and it’s made in the UK. It’s priced per user.
monday CRM
Suits teams who already use monday.com, or want sales and work in boards they can shape. Its strength is flexibility, built on monday’s work management boards. It’s priced per seat, sold in seat bundles.
Freshsales
Suits sales teams who call and email a lot. Its strength is having phone, email and chat built in alongside the record, with Freddy AI on higher plans. It’s priced per user.
Doodali
Suits small businesses, or people running several, who want the CRM and the jobs around it in one place. Its strength is how much is included: CRM and pipeline, projects, a shared inbox, invoicing with Xero sync, contracts with e-signatures, online booking, forms, newsletters and AI, for £19.99 a month per business with unlimited users. It’s newer than the others here, and it links to Xero rather than other accounts software.
Try before you decide
Most of these have a free trial or free plan. Use it with a real week of work: import your contacts, send a real quote, and see whether the team picks it up. Prices and plans change often, so check each one’s own pricing page before you buy.
